TIMELINE FOR SPRING STUDY ABROAD, 2008-2009
OCTOBER
Wednesday, October 15, 2008 (Stackhouse Theater) General information meeting, preceded by adequate publicity, for all students interested in any spring-term program. All spring-term directors should be present and must have available for distribution the completed Information for Students form. There will be individual break-away sessions with the program directors in classrooms designated in Huntley Hall.
Thursday, Oct. 23 - Deadline for students to submit Student Application to CIE and to notify Financial Aid if they seek assistance for spring term.
Monday, October 27 - CIE sends applications of students who have applied for their program to Program Directors.
Friday, October 31 - Students notified by Program Director of acceptance to program; roster of accepted students sent by Program Directors to CIE and by CIE to Financial Aid. This is the deadline for all program directors to submit final individual student budget sheets for their program to Financial Aid Office and to the CIE.
Week of Nov. 17 - Award notification to students by Financial Aid Office, which also sends rosters of students receiving financial aid to program directors and the CIE.
DECEMBER 2008
Tuesday, December 2 - Students submit fully signed Agreement of Responsible Travel form and deposit of 10% of the program cost to CIE, refundable only in case of medical emergency or if the program is canceled. If a student is on full financial aid for the course, no deposit is necessary. All students are committed to the full program cost following the schedule below as of Jan. 16, again only to be waived or refunded in case of medical emergency or program cancellation. Remaining payments should be scheduled in the following increments: 1/3 by Jan. 31, 1/3 by Feb. 28 and 1/3 by Mar. 31. All payments should be made payable to 'Washington & Lee University, Spring Term Abroad Program' and must indicate on the check 'item line' the course number and program director name. These payments should be presented directly to the Business Office.
Monday Dec. 8 CIE gets updated roster to the Financial Aid Office and to the Business Office.

· Friday, January 16 - ‘Drop-dead date’ for students to withdraw from program without incurring full financial obligation.
· Friday, January 25 - Deadline for all program directors to submit final trip rosters to the CIE which will forward these to the University Registrar, the Business Office, and the Financial Aid Office.

MARCH 2, 2009 - Deadline for program directors to submit proposals (STA 2010) for new or substantially modified spring-term courses to the Committee on International Education through the Center for International Education.
Mid-March (Date TBA) CIE meets to discuss new proposals, informs program directors of preliminary action.
*Must pre-register for FALL before leaving for Spain
JULY
July 1 Student evaluation forms, collected by each STA 2009 program director, due to the CIE Program Coordinator.
Other:
· Students arrive in Madrid (Barajas Airport) April 19
· Meet up with Professor Barnett and other participants in Barajas Airport by noon.
· Travel to Salamanca by bus.

· Program ends May 29.
· Students check out of their Spanish homes on May 29 or May 30. May 30 is the last day of your housing contract.
· Host family information: You will have this information in April, well before leaving for Spain (addresses, roommates).
REMINDERS:
· Fall Registration must be completed before leaving the U.S.
· Saving money in Salamanca--Madrid is more expensive, and there are more cultural activities in which to participate
· Gifts for families: It's not a bad idea to take a small gift for your host family, maybe something that is typical of your home region.
· Journal: You will be required to keep a journal while you are in Spain. Make sure that you make at least three entries per week. SUBSTANTIVE information should enter into this, not simply, "Today we laid out on the beach, and then we got a cup of coffee." Rather, "The fact that we are able to relax on the beach and have an afternoon coffee here is so different from the pace of life back in even sleepy old Lexington. I appreciate this about the Spanish culture." (You should bring an actual book with blank pages!!) All should be written in Spanish.
· Photocopy important documents and leave one copy with your family and another keep in a separate location from the originals with you. In other words, keep your passport on you when you're actually between airports, but have a copy (or several) on hand in a carry-on or suitcase in case you lose the original in transit--the embassy really appreciates this kind of thing!
